Terms and Conditions
Welcome to Baseline Africa. We’re delighted that you’re considering travelling with us. These Terms & Conditions are here to set out, in plain language, how our journeys work — ensuring clarity, fairness, and peace of mind for both you (our guest) and us (your hosts).
By booking a tour with Baseline Africa, you agree to the terms below.
1. Bookings & Reservations
All tours are subject to availability and confirmed only upon receipt of a booking form and deposit.
A deposit of 50% per person is required to secure your reservation.
Deposits are non-refundable, but if you cancel 90 days or more before departure, 75% of your deposit may be transferred to another Baseline Africa tour within 12 months.
The balance is due 60 days before departure. Failure to pay by this date may result in cancellation of your booking and forfeiture of your deposit.
For bookings made less than 60 days before departure, full payment is required at the time of booking.
2. Pricing & Payment
Prices are quoted in South African Rand (ZAR) unless otherwise indicated.
Prices include the services outlined in the specific itinerary (accommodation, transport, meals, activities, and guiding, where listed).
Exclusions (such as international flights, travel insurance, visa costs, gratuities, and personal expenses) will be clearly stated.
Payments can be made via bank transfer, secure online payment platforms, or other agreed methods.
3. Cancellations & Refunds
By the Guest:
90+ days before departure: Deposit transferable to another Baseline Africa tour within 12 months (75% value). No cancellation fee.
60–89 days before departure: 50% of the total tour cost refunded.
30–59 days before departure: 25% of the total tour cost refunded.
Less than 30 days before departure: No refund.
By Baseline Africa:
We reserve the right to cancel a tour due to unforeseen circumstances (e.g. minimum group size not met, force majeure events). In such cases, you will receive a full refund or the option to transfer your booking to future dates.
Baseline Africa is not liable for additional costs (flights, visas, etc.) outside of the tour package.
4. Travel Insurance
Comprehensive travel insurance (including cover for medical emergencies, cancellations, delays, and lost luggage) is mandatory for all guests.
Proof of insurance may be requested before departure.
5. Health, Safety & Fitness
Guests are responsible for ensuring they are fit and healthy to participate in the chosen tour.
Please inform us of any dietary needs, medical conditions, or mobility concerns at the time of booking.
Baseline Africa reserves the right to refuse participation if a guest’s condition could endanger themselves or others.
6. Responsibility & Liability
While we take great care in curating safe, seamless experiences, travel involves inherent risks. Baseline Africa, its staff, and partners cannot be held liable for injury, illness, loss, damage, accident, delay, or inconvenience beyond our reasonable control.
We work only with trusted partners and service providers, but we cannot be responsible for their acts or omissions.
7. Changes to Itineraries
Every effort is made to deliver the exact itinerary as advertised. However, Baseline Africa reserves the right to adjust routes, activities, accommodations, or transport due to weather, operational needs, or safety considerations.
Where substitutions are necessary, we will always seek to provide an equal or better alternative.
8. Guest Conduct
We ask all guests to respect local cultures, customs, and fellow travellers.
Baseline Africa reserves the right to remove any guest from a tour (without refund) whose behaviour is deemed unsafe, disruptive, or offensive.
9. Privacy & Data
We respect your privacy. Personal information provided during booking will be used only to deliver your tour and communicate relevant updates.
By opting into our newsletter, you consent to occasional emails with stories, updates, and special offers. You may unsubscribe at any time.
10. Governing Law
These Terms & Conditions are governed by South African law, and any disputes shall fall under the jurisdiction of South African courts.
